Last updated: October 7, 2026
This English version is provided for reference. If there is any difference between the English and Japanese versions, the Japanese version prevails.
These Terms of Service (the "Terms") set out the conditions for using the website and the activities and services (the "Services") provided by NPO Red Look (特定非営利活動法人 Red Look, "we" or "us"). By using the Services, you ("you" or the "user") agree to these Terms.
Article 1 (Scope)
- These Terms apply to all relationships between us and users regarding the use of the Services.
- Participation rules we set on our pages, Meetup event pages, the Discord community, and elsewhere ("Individual Rules") form part of these Terms. If the Terms and Individual Rules differ, the Individual Rules take precedence.
- When you use external services such as Meetup, Discord, Whop, or Stripe, please also follow their terms.
Article 2 (The Services)
The Services include:
- Free: free consultations, the weekly online language exchange, in-person events (if an event has a fee, for example to cover the venue, it is stated on the Meetup event page), and the free part of Red Hub
- Paid: Red Hub (¥1,500 per month) and Red Supporters (¥1,500 per month)
- Donations: monthly donations and one-time donations by bank transfer
Prices, payment methods, and other details are shown on each page and in our Legal Notice.
Article 3 (Applications and registration)
- Please provide accurate information when you apply or register.
- We may decline an application if we determine that:
- the information provided is false
- the applicant has violated these Terms in the past
- it is otherwise inappropriate
Article 4 (Membership payments)
- Red Hub and Red Supporters fees and monthly donations are paid monthly. They renew and are charged automatically every month, based on your sign-up date, until you cancel (for bank transfers, please pay by the date we tell you).
- If we change a fee, we will notify you in advance on our website, by email, or by other means.
Article 5 (Cancellation)
- You can cancel Red Hub, Red Supporters, and monthly donations at any time. There is no minimum term and no cancellation fee.
- If you cancel before your next payment date, no further payments will be charged (payments stop from the following month). You can keep using the service until the end of the period you have already paid for.
- How to cancel is explained in our Legal Notice.
Article 6 (Refunds)
- Fees and donations that have already been paid are not refunded, including on a pro-rata basis.
- Despite the above, we will refund:
- payments caused by our mistake, such as a duplicate charge
- event fees when we cancel an event for our own reasons
- any other amount we are required by law to refund
- To request a refund, please use our contact form.
Article 7 (Donations)
- Donations are used for our activities, such as running the organization and events and supporting international learning. We report how they are used in our activity reports.
- Red Look is not a certified NPO (認定NPO法人), so fees and donations are not eligible for tax deductions in Japan.
- We issue receipts on request.
Article 8 (Nature of advice and information)
- Information provided by us, our staff, or other participants in free consultations, Red Hub, and elsewhere is reference information based on experience. Please check with government offices or qualified professionals for expert judgment on residence status (visas), legal, or tax matters.
- We do not provide job placement services (matching job seekers with employers).
Article 9 (Prohibited conduct)
When using the Services, you must not:
- break the law or public order and morals, or engage in conduct related to crime
- harass, discriminate against, verbally abuse, or stalk other participants or staff
- advertise, sell, or solicit without our permission (including religious or political activities and network marketing)
- use the Services to look for romantic partners or dates
- impersonate another person
- collect or publish other participants' personal information or photos without their consent
- infringe the copyright or other rights of Red Look or other users
- interfere with the operation of the Services or gain unauthorized access
- provide benefits to, or be associated with, anti-social forces
- do anything else we consider inappropriate
Article 10 (Restriction of use)
- If you violate these Terms, we may restrict your use of the Services or cancel your registration without prior notice.
- If your registration is cancelled under the previous paragraph, fees already paid will not be refunded.
Article 11 (Photos and videos)
We may take photos and videos at events for our activity reports. If you do not want to appear, please tell our staff on the day. We publish photos and videos in which a person's face can be seen only with that person's consent.
Article 12 (Rights to posts and materials)
- Rights to content you post in Red Hub and elsewhere belong to you.
- Rights to materials and content we provide belong to us or their rightful owners. You may not copy, distribute, or sell them without our permission.
Article 13 (Changes to and suspension of the Services)
We may change or end the Services after notifying users in advance. We may suspend the Services temporarily without notice when unavoidable, for example for system maintenance or natural disasters.
Article 14 (Disclaimer)
- We do not guarantee that the content of the Services is free of errors or fit for a particular purpose.
- We are not liable for damage caused to users in connection with the Services, except in cases of our intent or gross negligence. However, this paragraph does not apply if the contract between us and the user is a consumer contract under Japan's Consumer Contract Act.
- Even in the case described in the proviso above, our liability for damage caused by our negligence (excluding gross negligence) is limited to the fees we received from the user in the month the damage occurred.
- Please resolve disputes between users, or between users and third parties, among the parties involved.
Article 15 (Changes to these Terms)
- We may change these Terms without the individual consent of users when:
- the change is in the general interest of users
- the change does not conflict with the purpose of the contract and is reasonable in light of the need for the change, the appropriateness of the new content, and other circumstances
- Before a change takes effect, we will announce the change and its effective date on this page.
Article 16 (Personal information)
We handle personal information obtained through the Services in accordance with our Privacy Policy.
Article 17 (Communication)
We contact users by the registered email address, Discord, Slack, or other means.
Article 18 (Governing law and jurisdiction)
These Terms are governed by the laws of Japan. The Yokohama District Court has exclusive jurisdiction as the court of first instance for any dispute relating to the Services.
